World Software has announced that the long-awaited Indexer as a Service (IaaS) offering is now ready and is going to be packaged into the latest Worldox GX4 update, WDU10. While we will explain below more about the benefits of running your Indexer program as a service, we must first caution you from updating your site without proper guidance and planning beforehand. The indexer as a service will automatically install after the update and start running in a semi complete state, while it waits for further configuration. If the Indexer is not configured properly, after the update, the text and profile databases along with any other scheduled jobs will cease to update or run. It is for this reason that we want to caution you from updating Worldox without understanding how to configure the new software first.

When Worldox updated their program from GX3 to GX4, they simplified the save dialog box. For the most part, the improvements were great (i.e. adding Categories, etc.). However, one feature almost universally missed was the drop-down list of recent long name descriptions. This caused heartburn for many people because they used this to promote consistent naming and to save time in naming files.

Good news! Its back! As is true with Worldox historically, the company truly listens to its customers, ... and they really do care. It is difficult to please everyone, but Worldox really does try, and they are nimble enough to make things happen.

Unfortunately, most legal documents are drafted using an approach that involves a high margin for error. Specifically, most lawyers simply find an existing document they previously created for a similar client or purpose, save it as a new file name, and start making changes to it.

This approach is unquestionably better than starting from a blank page and ignoring existing content. However, the approach suffers from significant drawbacks:

Wouldn’t it be nice if you could search the existing search result that you have in front of you? In other words, you run a search and you would like to drill down further by searching that search result. You now can.

To make this easier, we recommend creating a search template and a bookmark for this search, and call it “Search Current List”. Have your Worldox Manager do this so the template and bookmark can be saved as a public search template and bookmark. Here are the steps:

  1. Run a search in your main matter cabinet/profile group (i.e. all docs in the XYZ matter – this could be done via direct access or a search template).

To overcome this, while looking at the workspace for a specific matter and client, simply click on the Advanced Search button.
