The Rules Have Changed

In 2013, the ABA Model Rules were modified in a couple of significant ways as it relates to technology. To date, Ohio and 25 other states have adopted the changes I'm about to describe. If your state hasn't adopted the changes yet, I would expect them at some point in the near future. No state's rules of professional conduct can continue ignoring technology for much longer (Michigan, Indiana & Kentucky, I'm talking about you).

One of the most common tasks performed in NetDocuments is to send a copy of a document to non-NetDocuments users, through email. If you are using Internet Explorer, you have the option of integrating with your local email client to send that email.

If you use Chrome, Firefox or Safari, that option is not available. Instead, users receive an HTML email dialog, that they fill out. There is now a new tool available to them in NetDocuments following the January 19th update. When using the Email Copy and Deliver a Secure Link options (without the Desktop Email Integration enabled) users now have an "address book" available to them.

Indeed, we often cite the fact that your data is more secure inside NetDocuments that it would be on your local network file server!

So we’re pleased to pass on the news that NetDocuments continues to enhance its security standards and just been awarded SOC2+ certification as regulated by leading financial institutions, known as the InfoSec Group. This is in addition to the other SOC 2 Type 2, FIPS 140-2 Level 3, SEC/FINRA, ISO 27001, and HIPAA compliance certifications that NetDocuments has already achieved.

After Microsoft Office 2016 was released, Microsoft later released some updates that accidentally "broke" the integration with most document management systems, including Worldox. This wasn't Worldox's fault, and it is hard to totally blame Microsoft, as writing and upgrading software code today with thousands of environmental variables has proven to be extremely difficult. As a result of this problem, Affinity announced to you last year to please hold off on upgrading to Office 2016 until that integration piece was fixed.

Just announced at Legal Tech in New York this year is World Software's newest integration with its flagship product Worldox GX4 and Microsoft Office 365.

This new integration combines the mobility and security of OneDrive with the reliability and ease of use of the Worldox document management system. This Office 365 integration will allow you to check out your files directly from Worldox to OneDrive for easy access away from the office.

Paper is the enemy. Reducing your dependence on paper documents will make you more efficient and profitable.

Your scanner, desktop and software on your desktop is only part of the "paperless" solution. Too many lawyers continue to maintain a paper file, in addition to the digital file, because they need access to the documents when they are away from their desk or office.

NetDocuments is a web-based document management service and works on almost any platform or browser. You will recognize and be able to work in the user interface with Internet Explorer, Chrome, Firefox or Safari. However, NetDocuments includes specific add-ins that enhance usability on Windows platforms and specifically in Internet Explorer.
