Affinity Consulting Blog

For most law firms and legal departments, Outlook plays a vital role in their day to day operations. Whether users rely on it for email, calendar, contacts, tasks, or all of those things – its ease of use and simple interface make it a staple in just about every firm.

Like any good Document Management System, NetDocuments contains a Retention Policy feature that will allow the Repository Administrator to apply your firm's Document Retention Policies within NetDocuments to mark documents for permanent deletion, and even set those policies to run automatically.

The module is accessed from the ADMIN>REPOSITORY>"Define document retention policies" menu, from which the retention criteria can be defined.

I’ve been a fan of the Association of Legal Administrators (ALA) ever since joining Affinity and my first ALA National Conference in Nashville. I was drawn to the genuine pride and collaborative spirit I found in every new member I’ve met over the last 3 years. Yet this weekend – my first Chapter Leadership Institute (CLI) experience – completely blew me away!

ndOffice version 2.1 will be available beginning June 23, 2017. This version will be made available to users via the auto-update notification. This promises to be a feature packed update. Here are just some of the new features:

New and Improved Email Filing Features in Outlook

Now you can easily profile to a client/matter without having to open the ndOffice dialogs. If the item isn’t in the ten locations we show by default (associated with an email address) then clicking the Select Workspace option will open a pane (not the entire dialog), your cursor will be placed in the Client field and you can begin profiling. You can also change cabinets here.

Have you ever received an email while you were away from the office that you wished you could have saved right away, so you wouldn't forget? Do you receive emails that you wished would save directly to Worldox, without you needing to profile them? If so, you will want to continue reading to learn all about Worldox drop folders and what they can do for you.

So, what are drop folders? In versions of Worldox before GX4, you could setup drop folders in Outlook, but it was a manual process. In GX4, they are setup automatically. The drop folders contain specified profile information such as Client, Matter, DocType, etc. You can drag and drop your emails into these folders, so you don't have to specify this information when saving emails. To add even more functionality, using Outlook Rules, you can automatically save emails from a specified address into those drop folders, eliminating the need to manually save many emails into Worldox.
