Training Video TECH TIP: MS Word – Converting Word Documents to a PDF

Unless we want someone to make edits directly to our word processor document, it is best to send documents to those outside our organization as a PDF. You can easily create PDFs directly from Microsoft Word. While many PDF editors install their own conversion buttons in Word, you can create PDFs using only the tools that come included with Word.

Export as PDF

From the File menu, click on Export. Select Create PDF/XPS Document, and then click on the Create PDF/XPS button. Click on the Options button to change the page range, create bookmarks from headings or Word bookmarks, include document structure tags for accessibility, or create a PDF/A.

Save as PDF

Alternatively, you can save as a PDF. From the File menu, click on Save As. Change the document type from Word Document to PDF. To change the page range, create bookmarks from headings or Word bookmarks, include document structure tags for accessibility, or create a PDF/A, click on the “more options” link. On the new dialog, click on the Options button.

Print to PDF

You can also print to PDF using the Microsoft Print to PDF driver. From the File menu, click on Print. Select Microsoft Print to PDF as your printer. When printing to PDF, you can change the page range, but cannot change the options to create bookmarks from headings or Word bookmarks, include document structure tags for accessibility, or create a PDF/A.
