Worldox Training: Bookmarks in Worldox

One feature that we find is underutilized is the ability to bookmark your most active cases, searches or favorite files. If you’re finding that you click more than two or three times to get to where you want to be, there’s a better way. That better way begins with bookmarks.

Below is a screen shot of a GX4 bookmark button bar, in green. There are three areas displayed on this bookmark bar. These three types of bookmarks are the default bookmarks you’re able to create in Worldox:

  1. Bookmarks to your favorite files.

  2. Folder-based bookmarks that go to specific locations in Worldox such as a matter or personal folder.

  3. Bookmarks based on search templates (saved search forms or searches).

There are several ways that you can create your bookmarks. One of the easiest ways is to first locate a blank space in your bookmark bar. Next, right click with your mouse in that blank space and select Create. This will allow you to select one of three options to create your bookmark:  1) Favorite Files 2) Folders, or  3) Searches.

Another quick and easy way to add a bookmark is to first browse to the location you want to add. This can be via the navigation pane on the left side of the screen or by using Direct Access to get to the location. No matter how you get to a list of documents, if you want to add that list as a bookmark, from the list of documents right-click in a blank area of the bookmark bar and choose Add this list.  This will allow you to name your bookmarks.

Unfortunately, you cannot easily re-order or organize bookmarks by dragging and dropping.  They are in alphabetical order.  One way around this is to group the bookmarks using a prefix symbol.  I like to put a dash ( ) in front of any bookmarks that I want located to the far left of the bookmark bar.

For the middle of the bookmark bar, I like to let the bookmarks fall where they may alphabetically, so I don’t use any prefix.

Then, for the far right, I add a tilde ( ~ ) in front of the name as the ~ sorts after Z in the alphabet, and will push your bookmarks to the end or far right. This helps bring some order to an already very useful tool.

As with anything, once you’re done, you may not want to see a bookmark anymore. When you are finished with a particular bookmark, right-click on the bookmark name > Delete Bookmark, and that will remove it from your bookmark button bar freeing up space for yet more bookmarks. Once you fill the first row with bookmarks, Worldox will automatically drop down a fresh new bookmark bar underneath the one you just filled. This should give you plenty of room to explore using bookmarks in Worldox.
